Consent and Privacy Policy

This Consent and Privacy Policy (hereafter referred to as “Policy”) outlines the terms and conditions of data use, privacy, and content responsibility for users of the GreenViDialogue mobile application (hereafter referred to as “App”), developed by Tree Agency OÜ in cooperation with the partners of the GreenViDialogue project (Grant Agreement: 2023-1ES02KA220YOU -000155364). By registering for and using this App, users consent to the terms outlined below.

1. Data privacy and confidentiality

  • Data collection: the App collects only the minimal amount of personal data necessary for registration and use, including basic information such as name, age, email, and country of residence. This information is collected solely for the purpose of identifying and authenticating users.
  • Data use and confidentiality: personal data shared with us during registration will be stored securely and used only for purposes directly related to the App’s functionality and user support. We will not sell, lease, or share personal information with third parties, except as required by law.
  • Data security: we implement industry-standard measures to protect your personal data from unauthorised access, alteration, disclosure, or destruction. However, users should understand that no data transmission over the internet or electronic storage is 100% secure.

2. Content responsibility

  • User-generated content: users are encouraged to upload participatory videos that inspire engagement in sustainability and climate change. However, we do not bear responsibility for any content that is unethical, inappropriate, or otherwise sensitive in nature.
  • Prohibited content: users are strictly prohibited from uploading materials that are offensive, unethical, discriminatory, violent, or harmful. We reserve the right to review and remove content that violates these standards.
  • Disclaimer: despite our procedures for monitoring and moderating content, we do not guarantee the immediate removal of inappropriate content. By using this App, users agree that Tree Agency OÜ and any of the partners of the GreenViDialogue project cannot be held liable for any content that is deemed inappropriate, unethical, or otherwise objectionable by other users.

3. Privacy and cookies protocol

  • Personal data: the App collects minimal personal data during registration, as outlined above. We store and process this data according to applicable EU data protection laws, including the General Data Protection Regulation (GDPR).
  • Cookies: this App may use cookies to enhance the user experience by remembering preferences, session management, and analytics. By using this App, users consent to the use of cookies, which can be managed in the settings of their device.
  • Third-party services: our App may contain links to third-party services or content. Tree Agency OÜ and any of the partners of the GreenViDialogue project are not responsible for the privacy practices or content of third-party sites. We encourage users to review the privacy policies of any third-party services they may access through the App.

4. Data Retention and Deletion Policy

  • Storage of uploaded content: Participatory videos and other content uploaded by users will be stored securely on our servers. These materials are retained for a period of 5 years from the date of upload to ensure continuity and access for sustainability projects and reports.
  • Deletion of data: Upon a user’s request to delete their account, all personal data will be removed promptly. Uploaded videos and content will also be removed from public access within 30 days. However, such content may be retained in secure archives for the remainder of the 5-year period for operational, analytical, or legal purposes.
  • Final deletion: After the 5-year retention period, all stored content, including participatory videos, will be permanently deleted from our systems.
  • Data access during retention: During the retention period, users may request access to or removal of specific uploaded content by contacting dev@treeagency.eu.

5. Special Provisions for Minors

  • Data protection for minors: We are committed to safeguarding the privacy of minors. Any personal data collected from minors will be handled with additional care, ensuring compliance with applicable child data protection regulations.
  • Monitoring and reporting: Parents or guardians are encouraged to monitor their child’s use of the App and report any concerns regarding inappropriate content or privacy to dev@treeagency.eu.
  • Content uploaded by minors: Minors are subject to the same content guidelines as other users. However, any violations involving minors will be addressed with additional scrutiny, including potential notification to their parent or guardian and, if necessary, relevant authorities.

 

6. User Rights and Contact Information

  • Right to access and delete: users may access, modify, or delete their personal data by contacting us at dev@treeagency.eu. Requests will be handled promptly according to GDPR requirements.
  • Amendments: We may update this Policy periodically to reflect changes in our practices or for legal compliance. Users will be notified of significant changes, and continued use of the App constitutes acceptance of the updated Policy.

 

By registering for and using the GreenViDialogue mobile application, users acknowledge and consent to the terms outlined in this Consent and Privacy Policy.
